Role purpose
This role will act as Executive Assistant to the executive and board as part of a shared services executive support team and will encompass a wide range of support and administrative activities and tasks which will vary and are subject to change depending on executive/board allocation.
Key Responsibilities
- Provision of executive level administrative support to the executive and board on a 1:2+ ratio depending on size of function
- Diary management - using Microsoft Outlook to include, booking appointments, arranging meetings, conference calls, with an understanding of critical meetings, and subject matter, prioritising as appropriate
- Email management – proactive approach to managing executive and board various inboxes including responding, drafting, flagging, filing and following up
- Sending and responding to meeting invites. preparing meeting documentation and first point of contact for all visitors for board and executive and board when in the office
- Assisting with the production and formatting of management reports, presentations, minutes, meeting actions, and internal and external communications as requested, to high standards and to strict deadlines.
- Familiarise and coordinate with internal and external stakeholders building key relationships.
- Working with the other EAs as part of a shared services team, with flexibility to provide administrative support across the executive and board as required and provide cover as necessary actively working towards the interests of the whole team
- Co-ordinate travel arrangements for executive and board
- Provide ad hoc support to exco-1/direct reports including diary management and travel arrangements
- Ad hoc functional support for specific executive and/or board according to team priorities and areas of focus
What you bring to the team
- Extensive EA experience at executive level within Financial Services sector
- Previous experience working in a fast-paced operational environment
- Excellent organisational skills, discretion, integrity and the ability to handle complex and sensitive matters with professionalism
- Strong written and verbal communications skills
- Confident and professional with an ability to use own judgment and work independently
- Excellent attention to detail in all administrative tasks
- Ability to interact with high level stakeholders with professionalism and diplomacy
- Essential to be flexible to work outside core hours when necessary and to be punctual and reliable with functionality for home working – reliable internet connection / dedicated work space.
- Strong MS Package skills – Outlook | Excel | PowerPoint | Teams
- Strong diary and inbox management
- Strong written and verbal communication skills
- Ability to use initiative, problem solve and delegate as needed.

Working Pattern: Our working style is hybrid, but we recognise the importance of
collaborative working with our working with our colleagues often 2 days per week in one of our offices . More office-based working may be required during project rollouts or when we have a higher number of users in the office.
